Spend a moment on the sheet before converting, because a spreadsheet is an unbounded grid and a PDF is a series of fixed pages — and that mismatch is where results go wrong. Columns wider than the page get cut off or pushed onto a second sheet of paper, which is the most common complaint about spreadsheet exports.

Check what the natural page breaks do to your table. A total row separated from the figures it totals, or a column split across two pages, makes a report harder to read than the spreadsheet was.

Converting to PDF removes the formulas. Recipients see values, not the calculations behind them, and they cannot sort, filter, pivot or extend the data.

That is exactly right for a finished report someone should read rather than manipulate, and exactly wrong if they need to work with the numbers. Sending a PDF to someone who needed the data is a common and irritating mistake — as is sending the live spreadsheet to someone who then edits it and reports different figures back.

Consider what happens to hidden content as well. Hidden rows, columns and sheets are generally not rendered, which is usually what you want, though it means the PDF may show less than you expect. More importantly, the reverse case matters: sending the original .xlsx exposes hidden sheets, comments and formula history that a PDF would not.
