When you send a Word file, you can never be sure it will look the same on the recipient's screen — fonts substitute, margins shift and layouts break depending on the software and version they use. Turn off track changes and accept or reject outstanding edits first — visible markup will be rendered into the PDF exactly as displayed, and comments in the margin are a common and awkward thing to discover after sending.

Resolve any content that depends on the editing environment. Fields that display a live date will be frozen at whatever they showed at conversion. Linked images that have gone missing will convert as missing.

It is also worth checking document properties. Word stores the author name and often a company name, and these carry into the PDF. A document authored on a colleague's machine can arrive attributed to them.

Send a PDF when the document is finished and the recipient needs to read, file, print or sign it. CVs, invoices, contracts, proposals and reports all belong in this category, and sending them as Word files is a small but real signal of carelessness.

Send the Word file when you want changes back. If the recipient needs to comment, edit or continue working on the document, a PDF forces them into an awkward workaround.

The reliable pattern is to collaborate in Word and deliver as PDF — keeping the editable source as your working copy, and treating the PDF as the version you hand over. The mistake to avoid is letting a delivered PDF become the only copy that exists, which is how people end up needing to convert back again later.
